1. Provides coordination and communication of patient care activities.
o Schedules all patient surgeries, including emergency and add on surgeries, requiring an understanding of scheduling procedures for surgeries, e.g. how long surgeries will take and how much time to allot for set up and turn-around time.
o Evaluates the patients' plans of care, making recommendations for revision, optimizing clinical outcomes.
o Demonstrates critical thinking skills, effectively resolving issues regarding patients, unusual events and/or practice-based problems.
o Collaborates with physicians and other disciplines in the coordination of patient care planning, to include bit not limited to, obtaining preoperative imaging, past medical records, pertinent OR data relevant to procedures and working with vendors to ensure required equipment is available.
o In a timely manner, informs appropriate leaders of relevant information affecting any function of the practice, e.g. patient occurrences, clinical situations, etc.
o Arranges provider schedules, meetings, depositions, hospital consults and emergency room calls.
o Oversees the providers' on-call schedules, including the answering service.
o May perform back up duties for scheduling hospital testing and referrals to other medical establishments.
o Meet with equipment representatives by phone or in person to schedule appointments with physicians and/or to obtain permission from the hospital for their visit.
2. Effectively communicates with patients/family members.
o Communicates with patients in a manner that is consistent with WHP service expectations and the Language of Caring program as outlined in support of patient satisfaction. Verifies patient using two patient identifiers
o Notifies patients and/or relays provider recommendations based on the specific direction/instruction of the physician or provider. Appropriately documents the follow-up that was conducted per office protocol. Caution used when communicating on the phone in patient care areas as well as appropriate response and communication via the patient portal.
3. Works to improve Press-Ganey patient satisfaction scores.
o Works effectively and cooperatively with other members of the team to identify opportunities for improvement in Press-Ganey results and actively participates in recommending plans of action to address any identified issues.
4. Works to improve processes related to hospital initiatives and other clinical quality measures.
o Works effectively and cooperatively with other members of the team to identify opportunities for improving processes or other clinical initiatives within the WHP system. Actively participates in recommending plans of action to address any identified issues.
5. Other general duties as assigned/directed.
o Maintains work area in a professional and organized manner.
o Performs all other duties as assigned/directed.


Experience Minimum Required
• 5 years’ experience as an surgical scheduling coordinator.
Experience Preferred/Desired
• Basic understanding of ICD-10 and CPT codes and knowledge of medical terminology.
Education Minimum Required
• High School diploma or equivalent.
Special Skills Minimum Required
• Ability to handle multiple tasks and adapt quickly to changing priorities
• Strong computer skills
• Basic medical terminology
• Ability to organize work priorities and meet specific objectives under time constraints
• Ability to multi-task
• Strong interpersonal skills
