Demonstrates competence in the performance of duties and responsibilities related to administrative/office support for Imaging Services, patients and Physicians to ensure smooth daily operations.
We are looking for a motivated and competent professional with customer service experience to join our team that provides administrative support for Imaging Services (MRI). The primary responsibilities are registration /check-in for outpatient services, answering calls, directing patients and uploading documents into the EMR.
o Greets and assist all who enter the department with enthusiasm, answers telephone per hospital customer service standard, takes messages and relays information to appropriate personnel.
o Notifies Imaging Services modalities upon patient arrival, works closely with Technologist/Sonographers to monitor patient flow and communicate potential delays with patients. Pro-actively communicates updates to patients with regard to wait times.
o Utilizes hospital intranet to access and print department forms. Respectfully instructs patients, parent and/or guardians regarding the necessary screeners and appropriate consents to fill out and sign prior to procedure.
o Complies daily scheduled patients’ physician orders, QC's per front desk procedures. Provides timely updates/follow up to Supervisor with regard to physician order discrepancies.
o Files, faxes, collates and photocopies materials required, types correspondence, memo's, minutes and related documents as needed. Maintains competencies relating to the replacement of cartridges, drums, and toners to ensure continuing function of office equipment; provides routine preventative maintenance.
o Assist with maintaining appropriate supply par levels, which includes ordering/receiving supplies, follows policy and procedure.
o Maintains and updates office reference material (i.e. policies and procedures, minutes, journals, reports, and logs.) as needed.
o Assist with orientation of new team members and volunteers in department, provides supervision of volunteers as needed
Demonstrates competence in the performance of duties and responsibilities related to professional performance expectations. Displays professional etiquette utilizing "We Care" skills and Press Ganey scripting toward coworkers, patients and other healthcare providers. Exhibits flexibility in daily assignments and performance expectation, is adaptive to change.
o Demonstrates ability to effectively manage time, is focused, well organized, prioritizes and completes assignments/tasks by established time frame.
o Actively fosters communication with Supervisor regarding daily issues, discrepancies and concerns.
Demonstrates competence in Technology Management to include Electronic Imaging & Film/Record Management-uses office equipment and various computer systems/applications to facilitate daily Imaging operations. Maintains competencies pertinent to information systems used in the department. (i.e. Novell Groupwise, Syngo, Powerpoint, Excel, Microsoft Word, Soarian Financials-Scheduling, Soarian Financials-Clinical, EDM, PACS)
o Processes patient data into Syngo, PACS in an accurate and complete manner. Retrieves and expedites electronic imaging records, or reports. Assist with imaging records, per department QC standards, for Radiologists to interpret. Strictly adheres to HIPAA guidelines and policy.
o Carefully maintains an accurate list of physicians requesting reports. Assist with promptly sends patients reports to physicians offices to ensure results received within 24 hours.
o Maintains a tracking system for all incoming films / CD's from outside facilities. Prepares comparison CD's / film for radiologists and ensures availability during dictation.
o Follows established QC guidelines pertaining to release of CD's / electronic imaging. Prioritizes CD requests as needed.
o Assists with CD requests from patients, physicians via telephone or in person; Coordinates CD pick up with Medical records
Demonstrates competence with obtaining all information to complete the Registration, Pre-registration and Scheduling process accurately and efficiently for Imaging appointments and Outpatient Walk-in X-ray appointments. Properly search for patients' to avoid creating duplicate medical records. Accurately update patient demographics and financial information, include insurance information, thru Soarian Financials to assist with the billing process.
o Works in conjunction with Patients, Physicians practices and Patient Access to accurately schedule Imaging appointments.
o Follows established QC guidelines/protocol for MRI approval; checks pre-authorizations to ensure appointments are within approved time frame; verifies medical necessity for applicable exams; documents discrepancies and provides follow-up to ensure reasonable turnaround time for scheduling appointment. Seeks MRI Supervisor to assist as needed.
o Offers Patient Rights information, Advanced Directives and other applicable handouts. Understands and can explain Patient Registration Consent form to population served
Demonstrates competence by providing technical assistance to Technologists/Sonographers in reference to Clinical performance main campus and/or off site locations. Assists Technologists/Sonographers with preparing rooms for optimized patient throughput, by utilizing room check off lists. Actively involved with room turnaround times.
o Escorts/Transports patients from various modalities within the department to exam rooms, assist with patient transfers when applicable, ensures patients are in proper attire needed for quality exam, notifies technologist, nurse or physician immediately of changes in patient's condition.
o Works closely with all team members to assist with patient flow, update patients regarding potential delays, ensure patient comfort by utilizing "We Care" skills and department service standards.
o Pro-actively provides patient and Technologist/Sonographer chaperone duties as needed during exams.
o Performs anxiety reduction to patients and their families, explains and answers medical questions within the scope of training.
o Provides assistance and back up to the modality Supervisor with scheduling modality team meetings, ensuring Sonographer coverage at each location and communicating patient care needs that require escalating to a leadership level.
Demonstrates patient coordination responsibilities for Scheduled outpatients, in-patient add on exams and emergency procedures as necessary. Seeks out Supervisor as needed. Monitors outpatient schedule and assigns patients to next available Sonographer/Technologist as appropriate.
o Provides pre-instructions and estimated times for in-patient and emergency room add-on exams, coordinates care between inpatient and ED team and provides hand off information to Sonographers/Technologist.
o Monitors outpatient schedule for all locations (Exit 9, Lee and Main Campus) for appropriate scheduling location for patient convenience and throughput.
o Performs daily patient confirmation and prep instruction calls for scheduled out-patient; documents necessary information regarding appointment in Soarian; provides follow up information to Sonographers/Technologist when necessary.
Experience Minimum Required
• Minimum of two years
• Secretarial experience in a healthcare setting.
Experience with Medical Terminology, Anatomy and Physiology.
Education Minimum Required
• High School with secretarial courses, computer skills
• AS in secretarial science or business

• Must be proficient with computer programs such as Microsoft Office.
